FAQ

Considering AI? Ask everything.

Plain answers for owners deciding whether an AI operating layer belongs in their business.

What it is

What does Axiom actually do?

It connects your CRM, inbox, calendar, phones, and business tools into one AI-coordinated operating layer. It follows up with leads, drafts proposals and contracts, publishes social content, answers calls and routine customer questions, preps invoices and reminders, and routes tasks to your team — with human approval wherever you want it.

Does it replace my existing software?

No. It works with the tools you already use and coordinates the work between them. Your CRM stays your CRM.

Does it work with my existing tools?

That's the design. CRMs, email, calendars, phone systems, Zapier, ChatGPT, Supabase, accounting tools, e-signature, and social channels are all connectable. If you use something unusual, we scope the integration in your quote.

Is this just a chatbot?

No. Chat is one small interface. The substance is workflows: work gets found, drafted, routed, approved, and completed across your actual systems.

Cost & getting started

What does it cost?

Entry workflow packages run $99–$399/month. Multi-workflow operations layers are custom quoted. Full AI operating systems typically run $5,000–$10,000+ depending on workflows, integrations, data complexity, security requirements, and business size. See the pricing page for how quotes work.

How long does setup take?

A single entry workflow is typically live in days, not months. Larger implementations are phased — you see working workflows early rather than waiting for a big-bang launch.

Can I start small?

That's the recommended path. One workflow — usually missed-call recovery or lead follow-up — proves the value in your own numbers before anything expands.

How does it scale over time?

Each new workflow joins the same operating layer: shared data, shared knowledge, one approval queue, one dashboard. You add scope, not new silos.

Do I need technical knowledge?

No. We design, build, monitor, and tune the workflows. You review work in an approval queue and watch the dashboard.

Trust & control

What about data privacy?

AI sees only the data sources you connect, scoped per workflow. Your data isn't used to train models. Access is logged and revocable. Full details on the security page.

Can it run locally?

Local/private deployment on business-owned hardware is available for sensitive businesses as part of a custom quote.

Do you sign NDAs?

Yes, before we look at anything.

What if the AI makes a mistake?

That's what approval gates are for. Sensitive actions — pricing, contracts, outbound content — wait for human sign-off, and every action is logged and traceable. You choose what runs automatically, and you can tighten the dial anytime.

Can actions require human approval?

Yes. Approval-first is the default posture for anything consequential. Many owners clear their queue from a phone in a couple of minutes a day.

Team & operations

Will my employees actually use it?

Employees don't have to learn AI — they get clearer systems: task lists, SOPs, checklists, dashboards, and copilots that answer questions from company knowledge. Adoption is designed into the rollout, one role at a time.

Does it replace employees?

It's built to reduce wasted labor, not headcount for its own sake. Most businesses use it to grow without hiring as quickly — the team you have gets more capacity and cleaner work.

Can it make my current employees more efficient?

Yes — that's a core use case. Task routing, drafted-for-you documents, centralized knowledge, and role dashboards remove the copying, chasing, and status-checking that eat payroll hours.

Can it reduce payroll or admin hours?

It reduces avoidable admin work: copying data between tools, chasing leads, writing routine emails, preparing documents, posting content, checking statuses. We frame savings in hours, not guaranteed dollar promises.

Specific capabilities

Can it create and post social media content?

Yes. It learns your business and voice, drafts daily or weekly posts (including review highlights and before/afters), and can publish to Facebook, Instagram, Google Business Profile, and LinkedIn — with approval before posting if you want it.

Can it answer calls or install voice agents?

Yes. Voice agents handle missed calls, appointment booking, lead qualification, common questions, routing, and after-hours coverage — using only approved knowledge, with escalation to humans.

Can it answer customer service questions?

Yes, from an approved knowledge base. It drafts or sends replies, updates tickets and CRM records, and escalates when a human should take over.

Can it handle lead follow-up, proposals, contracts, and onboarding?

Yes — end to end. Capture and qualify the lead, follow up until they decide, generate the proposal or contract from your templates, collect the e-signature, update the CRM, and send onboarding instructions. Approval gates sit on pricing and commitments.

Can it help with accounting and back-office work?

Yes: invoice prep, payment reminders, expense categorization, receipt collection, job-cost summaries, and clean bookkeeper handoffs. It doesn't replace your CPA, bookkeeper, or accounting system — it organizes the work around them.
